Legal Administrative Assistant – Estate Planning & Administration, In-Office with Hybrid Option (Vancouver)
Our client is a boutique Vancouver law firm with a focused, well-regarded practice in estate administration, trust and estate planning, tax planning, and estate/tax litigation. They are seeking an experienced Legal Administrative Assistant to support a busy estate planning and administration team.
This position is ideal for a confident, detail-oriented, and proactive Legal Assistant who exercises sound judgement, maintains strict confidentiality, and thrives in a fast-paced environment. The successful candidate collaborates well both in person and remotely, and brings a client-centric approach to every interaction.
Responsibilities:
- Preparing routine correspondence and legal documents
- Managing files end to end, including opening files, running conflict checks, filing, and closing
- Handling email and calendar management
- Maintaining a bring-forward (BF) system
- Fielding a high volume of client requests by email and telephone throughout the day
- Coordinating meetings, including sending invitations and reminders
- Entering time, billing, and following up on accounts receivable
- Uploading and downloading electronic documents
- Managing incoming and outgoing mail
- Preparing expense reports
- Communicating with clients
- Maintaining wills and safekeeping documents in the firm’s vaults
Requirements:
- Minimum five years’ legal administrative experience working directly with a team of lawyers
- Client-centric approach with exceptional written and verbal communication skills
- Professional and organized at all times, with the ability to prioritize competing tasks
- High degree of accuracy and exceptional attention to detail
- Excellent technical and word-processing skills (Word, Excel, Outlook)
- Sound judgement, discretion, and the ability to handle confidential information and a high level of responsibility
- Composure under pressure in a fast-paced environment
- A self-starter and team player who takes initiative and anticipates next steps
- Ability to work both independently and as part of a team
This is a full-time, permanent, in-office position with the possibility of some remote-work arrangements. Included are a comprehensive healthcare benefits package and paid sick/personal time, and the salary for this position is $60,000 – $80,000.
