Hiring a Family Law Legal Assistant at a Full-Service Vancouver Firm
Our client is a well-established full-service law firm with a long-standing reputation in the Vancouver legal community and offices in both Vancouver and the Fraser Valley. They are seeking an experienced Family Law Legal Assistant for their Vancouver office to support the Family Law Department, working alongside a partner, an associate, and a departmental paralegal. This role is ideal for a highly organized, detail-oriented, and proactive LAA experienced in managing complex files in a fast-paced environment.
Responsibilities:
- Preparing correspondence and family law agreements, including cohabitation, marriage, separation, and property agreements, along with various court documents
- Setting court dates, mediations, discoveries, trials, and other meetings
- Communicating with court registries, experts, clients, and opposing counsel
- Attending to court filings
- Tracking court deadlines, internal and external deadlines, and limitation dates
- Assisting with the preparation of court applications, trial briefs, application records, and mediation binders; compiling exhibits to affidavits and preparing trial exhibits
- Maintaining lawyer calendars, scheduling client appointments, managing email, maintaining client and potential client lists, and running a bring-forward (BF) system
- Physical and electronic file management from inception to closure
- Organizing monthly litigation meetings
- Conducting monthly and interim billing processes
- Dictation and revising documents with handwritten changes
- Regular interaction with clients
- General administrative duties as required
Qualifications:
- Completion of an accredited Legal Administrative Assistant program preferred
- 3–5+ years’ experience in a busy law firm, preferably within a family law and litigation practice group
- Familiarity with the Supreme Court Family Rules and the Divorce Act
- Exceptional analytical, organizational, and deadline-management skills
- Ability to multi-task, prioritize, and work under pressure in a fast-paced, challenging environment
- Ability to manage multiple active files independently and change direction often
- Strong client service orientation and emotional intelligence
- Strong written and verbal communication skills
- Strong work ethic, proactive nature, and keen initiative
- Proficient in Microsoft Office (including Excel), Adobe PDF, FileSite/iManage DMS, DivorceMate, and Elite 3E accounting software (preferred)
