Our client is rated one of the best law firms in Canada and they are seeking an intermediate LAA to work and assist their Civil Sexual Assault team. The requirements of this position extend beyond traditional litigation support and require a high degree of attention to detail, organization, communication, and legal acumen. This is a vital role in the firm’s offering to clients and requires exceptional client communications.
Responsibilities include but are not limited to:
- Draft clear and precise legal correspondence and documents based on general guidelines.
- Prepare pleadings including Notices of Civil Claim, Notices of Application, and Reply to Demand for Particulars.
- Compile, proofread, format, and file legal documents and correspondence from dictation, notes, or templates.
- Organize, prepare, and serve Lists of Documents.
- Compile and organize Application Records for court proceedings.
- Assist with document production and records requests.
- Serve as a primary point of contact for clients, courts, opposing counsel, and other parties.
- Communicate with empathy and professionalism, keeping clients regularly informed.
- Serve expert reports and ensure clients are aware of key dates and meetings.
- Manage lawyer calendars, appointments, deadlines, and scheduling with meticulous attention to detail.
- Track important deadlines and follow-up dates to ensure accuracy.
- Schedule trials, chambers, and mediations in civil sexual assault cases.
- Organize and schedule medical appointments, prepare instructions for experts, and coordinate supporting documentation.
- Provide proactive organizational support for trial and mediation preparation.
- Open, organize, and maintain accurate case files, records, and reports.
- Ensure consistent and accurate document management practices.
- Manage scanning, photocopying, and incoming/outgoing mail and emails.
- Prepare retainer agreements and legal contracts.
- Process payouts, payments, handle cheques, and manage invoices efficiently.
- Provide backup support for intake and other administrative tasks.
- Step in for vacation coverage as needed to support the team.
- Mentor, coach, and train junior Legal Administrative Assistants on procedures and standards.
- Contribute to team development and knowledge sharing.
- Set and achieve annual personal and team goals.
- Perform other administrative tasks as assigned by lawyers.
Qualifications
- 5+ years as a Legal Administrative Assistant in civil litigation, predominantly in British Columbia, with specific experience in civil sexual assault litigation.
- Advanced Litigation Knowledge
- Ability to support survivors with empathy, compassion, and professionalism.
- Strong written and verbal communication; proven ability to interact effectively with clients, courts, and opposing counsel.
- Highly detail-oriented with exceptional ability to manage deadlines.
- Experience guiding and supporting junior team members.
- Emotional maturity to manage the demands of sensitive, high-stakes cases.
- Advanced use of Microsoft Office, Outlook, and legal software; Filevine experience an asset.

The salary for this position is $65,000- $75,000, commensurate with experience.
